Swim school software: courses, booking and payment in one system

Course planning in Excel, sign-ups by email, payments matched against bank statements: we replace all that with one system that covers the whole journey, from the free place to the paid invoice.

Most swim schools work with a mix of spreadsheets, an email inbox and a calendar. That works until the courses fill up, the waiting list grows and nobody can say for sure who has paid and who hasn't.

Our system for this is called Natarivo. It reflects exactly this everyday work: setting up courses, selling places, collecting payments, scheduling instructors, at several locations at once. It has been in daily use since July 2026 at a swim school with seven locations in Bonn and Cologne.

The result isn't standard software forced onto swimming lessons, but a system that knows the particulars of the sector: course levels, holiday courses, waiting lists, cancelled lessons, make-up sessions and parents who want to rebook their child at short notice.

What the system takes care of

  • Course management: courses, levels, locations, pools and times in one place; free places are counted automatically
  • Online booking: parents book themselves, only see places that are genuinely free and get a confirmation straight away
  • Payment: credit card and bank transfer; incoming payments are matched to the booking automatically
  • Waiting lists: when a place becomes free, the next person waiting moves up, instead of an email getting lost
  • Instructor portal: a separate login for instructors with their courses, participant lists and hours
  • Parent self-service: confirm a make-up session, switch courses, change a booking via a personal link, no account needed

A real example: Schwimmschule Nemo

For Schwimmschule Nemo in Bonn and Cologne, we rebuilt the website, booking and administration from scratch.

Starting point: Courses and sign-ups were kept in spreadsheets, bookings came in by email, and payments had to be matched by hand. With seven locations and more than twenty instructors, that cost hours every week, and a full course sometimes still went unnoticed.

Solution: One system for everything: a public website with a course overview, online booking with a basket, payment by card or bank transfer, an admin area for day-to-day work and a separate portal for the instructors. The existing courses were imported from the spreadsheets already in use, not typed up.

As of September 2026: more than 500 courses in the system, of which more than 300 can be booked publicly and almost 200 are fully booked. Seven locations, more than twenty instructors. Payments run automatically, waiting lists move up on their own, and cancelled lessons are handled through confirmed make-up sessions instead of phone chains.

One point mattered particularly to the owner: a click by a parent never automatically triggers a payment, a cancellation or the release of a place. It only records the request; the decision is made in the admin area. Control stays, the work goes.

How the roll-out works

  1. Conversation: we look at how you run things (course types, locations, prices, special cases)
  2. Data transfer: existing courses and customer data come from your spreadsheets into the system, not by hand
  3. Set-up: locations, pools, prices, text templates and payment method are configured
  4. Testing with you: you book through it yourselves before any parent sees the system
  5. Go-live: the switchover, and afterwards we stay available

The website can be newly built or stay as it is; the system can also be connected to an existing site.

What it costs

The price depends on how many locations and course types you have and whether a new website is part of it. We give you a fixed price for the set-up in advance, plus an ongoing flat fee for operation and maintenance: no billing by time spent, no surprises.

Whatever you pay in payment fees goes directly to the payment provider; we don't earn anything from it.

Frequently asked questions

What exactly do we get?

A system for swim schools: course management, online booking, payment, waiting lists, an instructor portal and an admin area in one system. It grew out of the daily running of a swim school with seven locations.

Do we have to type in our course data again?

No. We transfer existing course lists from your spreadsheets into the system; at Schwimmschule Nemo that was more than 500 courses. You check the result before it goes live.

How are payments handled?

Through an established payment provider, directly into your account. Credit card and bank transfer are possible. Incoming payments are matched to the booking automatically, including bank transfers, which of course only arrive days later.

Can our instructors work with it?

Yes. Instructors have their own login and see their courses and participants, but no customer data or payments that are none of their business.

What happens if a lesson is cancelled?

Affected parents get a link where they can confirm a make-up session or choose an alternative. You see at a glance who has responded, instead of collecting call-backs.

What about data protection?

All data is stored on servers in the EU. There is a deletion policy with automatic retention periods, and personal data can be fully anonymised or deleted. With children's data, that isn't optional.

How long does the roll-out take?

That depends on the scope. For a swim school with several locations you should allow a few weeks, most of which is coordination, not technology.

Does it work for other course providers too?

Yes. The set-up fits wherever courses with limited places, fixed dates and recurring participants are sold, for example music schools, driving schools or dance schools. The terms change, the process stays the same.

Can we see the system first?

Does it also work for swimming clubs?

Partly. Selling courses, that is beginners' courses for a fee, works just like at a swim school. Club administration with membership fees, sections and volunteers is a different matter. If your club mainly offers courses, talk to us; if it's about managing members, dedicated club software is the better choice.
