Customer management that reminds you to follow up
Enquiries, contacts, quotes and appointments in one place, with a system that reminds you before a prospect goes cold.
The most expensive enquiries are the ones that get lost: an email slides down the inbox, a note disappears, a quote goes unanswered for two weeks, and nobody follows up. The prospect has long since bought elsewhere, and nobody even notices.
A CRM (customer relationship management, in plain words: a system for keeping track of your customers) solves exactly that. Every enquiry becomes a case with a history: where did the contact come from, what was discussed, which quote is out, when was the last follow-up. And if nothing happens for too long, it is the system that speaks up, not chance.
The well-known CRM providers are aimed at sales teams of twenty people. For a small business they are too expensive, too complicated and abandoned again after three weeks. We build the lean version: exactly the fields and processes your business needs, connected directly to your website.
What lean customer management does
It is not about piles of features, but about four promises:
- Nothing gets lost: every enquiry from the website, phone or email becomes a case with a clear status
- Follow-ups happen: if a lead goes quiet or a quote gets no answer, the system reminds you on its own
- The history is there: whoever picks up the phone sees at a glance what was last discussed, even if a colleague had the contact
- Numbers instead of gut feeling: how many enquiries came in, from where, and what came of them
Connected to your website
The difference from bought, stand-alone software: your CRM is wired directly to your website. An enquiry through the contact form creates the contact automatically, online appointment booking adds the appointment straight to the record, and an accepted quote becomes an invoice without anyone copying data from A to B.
Every manual copy is a source of errors and a task that gets left undone. Exactly those disappear.
Ready-made CRM, free CRM or your own system?
Three questions bring clarity:
- Does the standard fit your process? If you only need contacts and notes, a ready-made, even free CRM is often enough. Take it, with a clear conscience
- Will you still be keeping it up in six months? Corporate software wants to be configured, learned and fed. An abandoned CRM is worse than none at all, because everyone believes everything has been recorded
- Should it grow together with your website and your processes? Quotes, invoices, appointment booking, automatic follow-ups: from here on, your own system pays off
A made-to-measure system costs once, when it is built, instead of permanently per user and month; a manageable flat fee is added for operation and maintenance. It does less, namely exactly what you need. That is why it gets used.
The start is smaller than you think
A CRM project does not have to start big. Often the first step is a website that collects enquiries properly instead of dumping them into an inbox. After that, the system grows with you: quotes, appointments, invoices, reminders.
The strongest reference for this is our own business: it runs entirely on a system like this, from the first website visit through the quote to the invoice, and that is exactly how we build it for you. Tell us where enquiries get lost in your business, and we will show you the shortest way to put a stop to it.
Frequently asked questions
What does a CRM of my own cost?
Unlike subscription CRMs, it costs once when it is built, then a manageable flat fee for operation and maintenance, regardless of how many people work with it. The amount depends on the scope: just contacts and follow-ups is much smaller than quotes, invoices and appointment booking together. You get a fixed price in advance.
Wouldn't a free CRM do?
Sometimes, yes. If you only want to keep track of contacts and notes and you keep it up with discipline, it will serve you well. The limit comes when the CRM is supposed to work together with your website, your quotes and your follow-ups. That interplay is exactly the part that saves work.
From how many customers is a CRM worth it?
Sooner than you think. The question is not the number of customers, but whether enquiries are slipping through. If you have more than a handful of open cases at the same time, you lose track without a system, and you do not notice.
Isn't that too complicated for my team?
Quite the opposite: because we only build what your business needs, there is little to learn. A new case is a form with three fields, not a training day.
What about data protection?
Customer data sits in your system on servers in the EU, not spread across third-party providers. Access requests and deletion under the GDPR can be handled cleanly because the data is in one place.
Can the CRM be connected to my existing website?
Usually, yes. Forms and bookings can be connected if the site's technology allows it. Where that does not make sense, we say so clearly. Sometimes a relaunch is the better first step.
