Who has how many free places is currently in a file that only a small team can read with confidence. Our system turns it into an overview the whole team works with.
Course management is the heart of every swim school, and usually the part that gets the fewest tools. Courses are in one spreadsheet, participants in a second, the waiting list on a scrap of paper, and whoever is on holiday can't step in because they don't know the logic behind it.
That doesn't backfire right away. It backfires when demand rises: two locations you can still keep in your head, seven you can't. A full course that nobody notices is lost revenue. So is a place that stays empty for three weeks because the waiting list wasn't kept up to date.
We don't solve this with more spreadsheets, but with one shared view: one course, one version of the truth, visible to everyone who needs it.
What's in the course management
- Courses with structure: level, age group, location, pool, weekday, time, number of sessions
- Places that count themselves: every booking, every cancellation, every person moving up from the waiting list changes the free capacity immediately
- Ongoing and holiday courses: continuous courses, blocks and intensive weeks side by side, without workarounds
- Waiting lists per course, with order, date and automatic notification when a place becomes free
- Progress and badges recorded for each child, so parents and instructors see the same status
- Participants and children kept separate from the payer: parents book for several children, but there's still just one invoice
- Capacity at a glance: which location pays its way, which course needs promoting, where a group is missing
Exceptions are everyday life
A system that can only handle the normal case doesn't help much in a swim school. Everyday life is made up of exceptions:
Cancelled lessons. The pool is closed, the instructor is ill. Affected parents get a link with make-up dates; you see who has confirmed, instead of collecting call-backs.
Rebookings. A child is further along than expected and should move up a level. The request is recorded, the free place checked, and the decision is made in the admin area.
Siblings in different courses. One payment, two bookings, two attendance lists.
Trial lessons. A place that looks taken but hasn't been sold yet, and after the lesson either becomes a booking or is released again.
Instructors and hours
Instructors get their own login. There they see their courses, their participant lists and the hours they've worked, and nothing else. Payment data and customer records stay in the admin area.
That has two effects: attendance is recorded where it happens (at the poolside, not from memory in the evening), and the hours statement is built on the same data. What was taught is exactly what gets accounted for.
What changes day to day
The honest answer: the work doesn't disappear completely, it shifts. Instead of copying data from A to B, you make decisions, and the copying happens by itself.
At Schwimmschule Nemo, that's more than 500 courses at seven locations with more than twenty instructors, which used to sit in spreadsheets. Today the course overview is the place everyone checks, including the part-time helper answering the phone for the first time.

Frequently asked questions
Can several people work with it at the same time?
Yes, and that's the real point. A spreadsheet can only sensibly be kept up to date by a small team. In the system, the office, location managers and part-time helpers see the same status, each with the permissions they need.
How do our existing courses get into the system?
By importing them from your spreadsheets. We prepare the data, you check the result, then it goes live. We read in your lists.
Can we set different prices for each location?
Yes. Prices belong to the course, not the system. Locations, course types, block sizes and discounts can all be set freely.
What happens to the waiting list when someone cancels?
The place is reported as free, the first person on the waiting list is notified and can take it. You decide whether that happens automatically or only after you approve it.
Can our instructors see customer data?
No. Instructors see their courses, their participants and their hours. Payments, invoices and customer records stay in the admin area.
How much does the course management cost?
It's part of the system and isn't priced separately: you get a fixed price for the set-up in advance and an ongoing flat fee for operation and maintenance. What determines the price is the number of locations and course types and whether a new website is part of it.
