Booking system

A booking system that fits your business

Courses, appointments, places or time slots: your customers book online and pay straight away. You see capacity and registrations instead of keeping lists.

A booking system is the next step up from appointment booking: it does not just manage a calendar, but everything behind it. Courses with limited places, recurring appointments, waiting lists, payments and participants.

The ready-made solutions on the market have a catch: they are built for everyone, so they do not quite fit anyone. Either you keep paying for features you do not need, or you are missing exactly the one rule that makes your business special: the sibling discounts, the skill levels, the assignment to locations.

We build booking systems that adapt to your business, not the other way round. How far that can go is shown in our case study of Schwimmschule Nemo: from an Excel spreadsheet to a system with over 500 courses at seven locations, more than 300 of them bookable online.

What a booking system takes over

Built properly, a whole pile of manual work disappears:

  • Real-time availability: what is fully booked can no longer be booked. Nobody has to turn anyone away
  • Payment at booking, by card or bank transfer, so the registration is binding
  • Automatic confirmations and reminders, without anyone typing emails
  • Waiting lists that fill themselves: when a place becomes free, the next person moves up automatically
  • An admin area behind it, where you see capacity, participants and payments

Each of these points replaces a task someone does by hand today. Usually you.

Off-the-shelf subscription or your own system?

It depends, namely on your process.

A ready-made subscription tool is quick to set up and cheap in the first year. It is a good fit if your process matches the standard and you can live with its limits.

Your own system pays off as soon as your business has its own rules: tiered courses, several locations, special pricing logic, a portal for staff. Then you are constantly fighting the tool in an off-the-shelf product, and the monthly fees keep running anyway.

We will tell you clearly in a conversation which route is right for you. Even if the answer is: stick with the off-the-shelf tool.

How we go about it

We build a booking system along your real process:

  1. Listening: how does a booking work today, from first contact to payment?
  2. Core first: the most important process is built first and goes into trial operation early
  3. Bringing your data along: we import existing customer and course lists, so nobody spends an afternoon at the keyboard
  4. Expanding step by step: waiting list, payments and reports are added once the core holds

That way your business is already working with the system while it grows, instead of waiting months for one big launch.

Built from practice

For swim schools, this work has turned into a product of its own: Natarivo brings together course management, online booking, waiting lists and an instructor portal, tried and tested in daily use.

Your business is not a swim school? That is exactly why we build individually: the building blocks are the same, booking, payment and customer management, and the rules come from you. Tell us how bookings work for you, and we will tell you what is possible.

Frequently asked questions

What does a custom booking system cost?

That depends on three questions: what is being booked (single appointments or courses with places), should payment happen straight away, and how many special rules does your business have? You get a fixed price for the setup in advance and an ongoing flat fee for operation and maintenance. No billing by the hour, no fee per booking to us.

How long does development take?

The most important process, meaning booking, paying and confirming, is typically in trial operation after a few weeks. After that the system keeps growing in stages while your business is already working with it. You get a reliable schedule as soon as we have seen your process and your existing data.

What is the difference between a booking system and appointment booking?

Appointment booking hands out time slots in a calendar. A booking system also manages everything around it: limited places, courses running over several weeks, waiting lists, payments and participant data. The line between them is fluid. We help you work out what you really need.

Can my customers pay online straight away?

Yes. Card payment and bank transfer can be built in, which makes the booking binding immediately. Payment fees go directly to the payment provider with no mark-up.

What happens to my existing customer and course lists?

We bring them along. Existing spreadsheets are imported. For Schwimmschule Nemo, that was several hundred courses including participants, from Excel.

Will I be dependent on you afterwards?

No. The system belongs to your website, the data belongs to you, and you run the admin area yourself. We remain available for maintenance and further development. Because you want us to be, not because you have to.
