Natarivo is WEBinnovision's booking and management system for swim schools. It wasn't designed on the drawing board, but grew out of the daily work of a swim school with seven locations and more than 500 courses. Add to that a simple observation: most swim schools teach excellently, yet their administration still lives in Excel, in the inbox and on scraps of paper.
The difference from general course software lies in the details that only exist in swimming: courses that run over several weeks, in which a single session is cancelled because the pool is booked. Waiting lists that have to move up as soon as someone drops out. Badges and progress that parents want to see. And groups that are put together by age and ability, not by sign-up date.

For parents: booking like everything else
Parents today expect to be able to book a course from the sofa at half past nine in the evening. That's exactly what the public site does:
- Search and filter courses by location, level, course format and time
- Book and pay online, individually or for several children in one go
- Waiting list when a course is full. Nobody has to call and ask
- Redeem vouchers right at checkout
- Confirm make-up sessions via a personal link, without an account and without a password
The last point sounds small and is the biggest one day to day: if a lesson is cancelled, each family decides on the make-up session themselves, instead of someone making twenty phone calls.
For the swim school: the admin side
The admin area is where the time is actually saved:
- Create and change courses, dates and capacities
- View and print the calendar and timetable
- Manage bookings and waiting lists, let people move up into free places
- Report cancelled sessions: all affected families are notified in one go
- Enter cover and handle rebookings including any price difference
- Keep track of payments, refunds and invoices
- Analyse capacity: which course is running well and which isn't
- Update website content, blog and FAQ yourself

For instructors: a portal of their own
Staff are the part course software usually forgets. In Natarivo they have their own area:
- view their own shifts and dates
- call up participant lists, including on a phone at the poolside
- record attendance and progress
- submit hours
- request a shift swap
That takes follow-up questions out of the day: who is scheduled when and where is right where people look for it, not in a message that has scrolled out of sight in the group chat.
Why the system runs without third-party services
Natarivo is built to work fully even if a connection is missing. Without a payment provider, a booking simply stays “payment outstanding” and is settled by bank transfer. Without an email account, no data disappears; it's just that no emails are sent.
That isn't a technical detail, it's a question of dependence: a system that grinds to a halt without three external providers belongs to those providers. Yours should belong to you.

Switching over: what happens to today's data
The most common worry isn't the software, it's the switch. In short: your existing data from Excel or your old solution is imported, the old and new sign-up run in parallel for a while, and the switchover happens between two course blocks rather than in the middle of one.
The timing determines the effort: between two course blocks, the switch takes days to a few weeks; in the middle of the season, considerably more. How the switch works in detail, and where it can go wrong, is on its own page about switching over.
Frequently asked questions
What does the name Natarivo mean?
It comes from the Latin “natare”, to swim. The name says what the system is built for, and the feature list sticks to that.
How much does Natarivo cost?
The price depends on how many locations and course types you have and whether a new website is part of it. You get a fixed price for the set-up in advance and an ongoing flat fee for operation and maintenance. No billing by time spent; payment fees go directly to the payment provider.
Can I see Natarivo first?

Does Natarivo work for small swim schools too?
Yes. The benefit doesn't depend on size, but on how sign-ups work today. If you take sign-ups by email and phone, you'll usually notice the difference in the very first course block, whether you have one pool or seven.
What happens to our existing courses and participants?
They're transferred. Excel lists can be imported; nobody types up hundreds of participants. We'll clarify what that looks like for you before we start.
Where is the data stored?
On servers in the EU. There's a deletion policy, and children's personal data is only stored for as long as it's needed to run the courses.
