Online appointment booking: customers book while you work

Your customers see free slots and book directly online. Confirmation, calendar entry and reminder happen on their own, even after closing time.

Arranging appointments by phone sounds personal, but it is tiring for both sides: the customer calls, you are up a ladder or with a patient, they end up on voicemail, you call back, they do not pick up. Two days and four attempts later there is an appointment that could have been booked online in thirty seconds.

With online appointment booking on your website, customers only see slots that are genuinely free, pick one and get a confirmation straight away. The appointment is in your calendar, the reminder goes out automatically, and nobody had to make a phone call.

We build these booking flows directly into your website, matched to your calendar and your processes. Not an off-the-shelf widget with someone else's logo, but part of your own site.

What good appointment booking has to do

A calendar widget is embedded in no time. The difference shows in the details:

  • Only real gaps are shown: buffers, your time off and public holidays are taken into account, otherwise someone books at 12 noon when you are on your break
  • Instant confirmation by email, so the customer knows it worked
  • A reminder before the appointment: people who are reminded do not forget. Forgotten appointments are the most expensive minutes of your day
  • Cancelling and rebooking without a phone call. The freed-up slot can be booked again straight away
  • Your calendar stays in charge: whatever you block privately cannot be booked online

You can try out how it feels right now: our own appointment booking works exactly like this.

Who it pays off for

In short: any business that gives out appointments and has to be reachable while doing so.

  • Practices and therapists, whose phones stay silent during treatment
  • Hairdressers, beauty and massage studios with full hands and a full diary
  • Tradespeople and surveyors who coordinate site visits
  • Consultancies and law firms that want to make first meetings easy to plan
  • Course providers, where the appointment turns straight into a registration. For that we have built a system of its own, Natarivo

The more often your phone rings just to arrange an appointment, the faster the switch pays for itself.

Built in, not bolted on

Many ready-made booking widgets come with problems you only notice later: someone else's branding, monthly fees per employee, customer data on servers somewhere, and a design that does not match your site.

We build the booking as part of your website: in your design, with your appointment types, your hours and your rules. The data stays with you, and no third-party provider comes between you and your customers.

If your website needs an update anyway, the two can be combined. Then it is worth looking at a website relaunch.

The appointment is only the beginning

The real gain shows after the booking: the new contact appears automatically in your customer management, the enquiry is linked to a case, and nobody had to type any of it up.

Step by step, a website that only informs becomes a website that brings in enquiries and handles the work behind them as well. The quickest way to find out what suits your business is a short conversation. Just write to us.

Frequently asked questions

What does online appointment booking cost?

That depends on whether it is built into an existing site or is part of a new website, and on how many appointment types and calendars are attached. You get a fixed price for the setup in advance. There is no monthly fee per employee, as many rented widgets charge; for maintenance and operation we agree a manageable flat fee.

Do I need a new website for this?

No. A booking flow can be built into an existing site if its technology allows it. If the site is very old, we tell you clearly beforehand whether building it in is worth it or whether a relaunch is the cleaner route.

Do I keep control of my calendar?

Yes. You decide which times can be booked at all, how much buffer there is between appointments and how short the notice for a booking may be. Whatever you block, nobody sees online.

What happens if a customer does not turn up?

The automatic reminder before the appointment catches the most common reason: simply forgetting. For anything beyond that, rules can be built in, such as a confirmation required the day before for particularly popular slots.

Does it work with my existing calendar?

Google Calendar is already connected: busy times automatically count as unavailable. For other calendars such as Outlook, we check case by case in advance, so you know what works before you start.
