Fully booked courses are where you find out how much revenue gets left on the table. A waiting list that moves up is the difference between an empty place and a filled one.
In many towns, swimming lessons have been oversubscribed for years. That sounds like a luxury problem, but it is actually one of the most expensive spots in the business, because a fully booked course is not the same as a full course.
The waiting list sits between the two. When a family cancels two weeks before the course starts, a place opens up. Whether it gets filled again depends on how quickly someone finds the list, who is next in line and whether that person can be reached. In practice, days go by, and sometimes the course starts with a gap.
A waiting list that lives in the system knows the order, sends the notification itself and sets a deadline. The place is usually taken again before anyone would even have noticed it was free.
What a paper waiting list costs
Work it out for your own business: how many places become free per course block because someone drops out? And how many of those stay empty?
Take three places per block that never get refilled as an example: with four blocks a year, that is twelve places someone would have paid for, quietly lost. Then there is the part you never see: families who were on the list, never heard anything and book somewhere else next time.
How it works with a system
The process is always the same, it is just that nobody does it by hand:
- A course is full: instead of “fully booked”, it shows waiting list
- Parents add themselves, in order and with a time stamp
- When a place opens up, the notification goes to the first person on the list
- A deadline applies: anyone who does not respond does not hold up the people behind them
- The place is taken as soon as someone accepts
Nobody makes phone calls, nobody looks for a note, and nobody has to decide who “was really there first”.
The side effect: you know what is missing
A well-kept waiting list is also the most honest demand statistic there is. If thirty families are queuing for beginners' courses on Saturday mornings, that is not a nuisance, it is the answer to the question of which course you should open next.

Frequently asked questions
What happens if nobody responds to the notification?
Once the deadline has passed, the place goes to the next person on the list. The order is kept; nobody is skipped just because they cannot get to their phone right now.
Can parents join the waiting list for several courses?
Yes. That is actually the normal case when several times would work. As soon as one of the places is accepted, it is clear which one applies.
Can parents see their position on the list?
That is a setting. Both options have their merits: showing the position creates clarity, but it can also put people off when the list is long.
Does the waiting list also work for holiday courses?
Yes, the difference being that time is tighter there. That is exactly why the automatic notification pays off: for a course that starts in five days, hours make the difference.
How long should the deadline for moving up be?
24 to 48 hours is common: short enough that the place does not go to waste, long enough that nobody is skipped because of a working day. For holiday courses that start in a few days, the deadline can be much shorter.
